Reservation Policies & Procedures
Your reservation is considered to be "held" once we receive your required information and booked once we receive your deposit.
Bend Vacation Rentals reserves the right to cancel any reservations, or substitute rental homes due to circumstances beyond our control. Should the home confirmed by guest become unavailable for any reason whatsoever, Bend Vacation Rentals will inform guest prior to check in and every attempt will be made to relocate guest to a comparable home.
Reservation Deposit - Cancellation Policy
Payments are non-refundable. However, if you cancel this booking at least 90 days prior to arrival, your payments will be refunded MINUS a $100.00 Cancellation Fee (+ 3% for credit card payments). If you cancel with less than 90 days to arrival, a full refund (less the cancellation fee + 3% for credit card payments) will be made ONLY if we can rebook this home for the same time frame as your reservation. There are no refunds due to natural or manmade disaster, electrical blackouts, storms, snow blockage, road closures or any other event out of Bend Vacation Rentals control.
We cater primarily to family groups. NO fraternities, sororities, or un-chaperoned persons will be allowed. Should a group misrepresent themselves, they will be required to vacate immediately without refund.
Mechanical breakdowns occur occasionally. Bend Vacation Rentals does everything possible to repair or replace services in a timely manner, but there are no guarantees. There are no discounts or refunds for mechanical breakdowns.
Check-in/ Check-out
Use your confirmation and instructions to locate and access your unit. If you need assistance please contact Bend Vacation Rentals at 877-385-9492. All vacation homes have combination lock boxes near the front door of the property, which contains the key for the rental.
The lock box combination will be included on your confirmation letter. If you are arriving after dark, please bring a flashlight with you so you can see the combination lock. Check in is at 4:00 pm and Check out time 11:00 am.
Late check outs without prior approval will be charged an additional $50.00. Prompt check out is essential to allow time for our housekeeping staff to prepare the home for the next guest.
Oregon Room Tax
Within the City Limits of Bend there is a 9% City of Bend transient room tax and a 1% State tax. Widgi Creek (outside the city limits) there is an 8% room tax and a 1% state tax. These taxes are required to be collected on all properties as per State of Oregon.
Lost and Found
Remember all your belongings on your departure from the unit. Bend Vacation Rentals is not responsible for lost, damaged or stolen personal items left in unit. $25 service fee is charged in addition to shipping cost if we are required to mail your forgotten items.
No Smoking
No smoking is allowed in any of the properties.
Pet Policy
Pets are only allowed in “pet friendly” properties. We must be notified in advance and you will be charged a pet fee. They are not allowed on the furniture and are never to be left unattended at the house. Please bring bedding, toys and dishes as necessary for your pet. You must clean up outside after them and properly dispose of.
Holding Special Events in Rentals
We do not allow weddings, large parties or other special events at most of our rentals. Arrangements for special events must be made in advance. There is an additional fee to have a special event at the few homes that can accommodate them.
Occupancy Limits
Our safety code determines the occupancy level of each home. A $100 charge per person per night will be levied on overnight guests in excess of the maximum allowed.
Cleaning Fee
There is a one time cleaning fee that will be charged.
Security Damage Deposit
We require a $250 to $1000 security damage deposit for each rental. If the rental is left in good condition, nothing will be charged to your card or your deposit check will be destroyed. We rarely run into problems but hold this for exceptional circumstances.
Confirmation
Upon receipt of full payment, you will be sent a confirmation letter, directions and entry instructions.
